We're hiring
Clinical Practice Manager — Licensed Therapist
San Rafael, CA · In person · Full-time, 26+ hours a week
A practice that runs well, run by someone who likes that it does.
Family Matters of Marin is a trauma-informed group psychotherapy practice in San Rafael. We work with children, adolescents, families, couples, and adults, and we are the only fully trauma-informed whole-family-systems team in Marin County. We are private pay, we are women-owned, and we are small enough that how we treat each other is something we actually talk about.
We are looking for a licensed clinician who wants to do two things at once: carry a meaningful caseload, and hold the systems that keep a growing practice running well. This is a role for someone who genuinely enjoys both — the clinical work and the work of helping a team run smoothly together.
The shape of the week
- A minimum of 20 client contact hours, Monday through Friday, in our 2:00–8:30 p.m. after-school and evening window — usually four afternoon/evening shifts with some flexibility to keep the caseload full
- 6 practice management hours, scheduled during the day — roughly two hours across three days
- You start smaller — three management hours a week while you build your caseload, moving to six once you are at 15 clients. As the practice grows, the management portion can increase further if that is what you want
- Both kinds of hours are paid at the same rate. Management time here is not an unpaid favor squeezed around sessions; it is scheduled, protected, and compensated like the professional work it is
- Two standing meetings — a half-hour weekly with our Client Care Coordinator, and a regular check-in with the Clinical Director (weekly to begin with, easing to twice monthly and then monthly as you settle in)
- Over the long term, we offer a path toward more daytime hours, and we will walk you through it
What you would actually be doing
Clinically
Trauma-informed therapy with children, teens, families, and adults, in a practice with real clinical support around you: trainings, monthly EMDR consultation groups, quarterly team meetings, and colleagues who consult with each other rather than working in isolation.
On the management side
- Onboarding new clinicians start to finish — background checks, credentials, personnel files, payroll and EHR setup, first-day readiness
- Keeping the compliance tracker true: licenses, CEUs, HIPAA training, insurance renewals, nothing expiring by surprise
- SimplePractice administration and a weekly documentation sweep
- Caseload and capacity monitoring across the team, so intakes route to the right person
- Scheduling, coverage, and room logistics — and being the person who handles it when something breaks on a Tuesday
- Holding the team to the requirements of their roles — hours, schedule, caseload, documentation, policy — with a clear protocol for when something needs to go to the Clinical Director, and your support for the clinician afterward
- Running the logistics of our review cycle, quarterly meetings, and trainings
- Building and maintaining the operations systems a growing practice needs — and keeping our Google Workspace, shared Drive, and Calendar organized and genuinely usable by the whole team
- A short monthly operations summary to the Clinical Director — what is working, what is not, what needs a decision
This is the right job for you if
- You love crossing the t's and dotting the i's — a process that runs cleanly is satisfying to you, not tedious
- You love supporting a practice to work together smoothly and efficiently
- You are personable and easy to be around, and you hold clear, consistent professional boundaries — with colleagues as much as with clients
- You enjoy collaborating with and managing clinical staff, and you are comfortable having difficult conversations and holding people to agreements
- You communicate really well, and you work well inside a leadership structure — keeping other team members genuinely informed rather than leaving them to guess
- You are professionally reliable and self-aware. You keep a consistent professional presence, and you have a clear sense of what belongs in consultation and what belongs in the workday
- You are experienced with this clientele, so a caseload of this work is sustaining rather than depleting
- You are confident and comfortable carrying a reduced caseload alongside managing a practice — neither half feels like a consolation prize
- You are calm under pressure. This role absorbs the practice's small emergencies so that they do not land on anyone else
- You are looking for somewhere to stay for years, with a real path to grow into Director of Operations, if appropriate, as the practice grows
This is probably not the right job for you if
- What you actually want is clinical leadership — supervising, teaching, case consultation. That is a different role here, on a different track, and we would rather tell you that now than a year in
- You want a full 25–30 client caseload and nothing else
- You are looking for full telehealth or daytime-only hours. Our families need after-school and evening times, and this role is in person in San Rafael
- Administrative follow-through is not your strength. That is completely fine — it is just not this job
What we are looking for
Required
- Current California license in good standing — LMFT, LCSW, LPCC, or licensed psychologist — licensed two or more years
- Clinical experience with children of all ages, adolescents, and families, as well as adults
- Trauma training or certification, and a trauma-informed way of working
- Practice management or operations experience in a group practice, clinic, agency, school, or other clinical setting
- Experience managing employees or clinicians — leading a team, holding people to expectations, and having the difficult conversations that go with it
- Experience with SOP writing, onboarding, or compliance tracking for a clinical team
- SimplePractice proficiency
- Google Workspace proficiency — shared Drive and Calendar
- Willing and able to carry a minimum of 20 client contact hours per week
- Availability Monday through Friday afternoons and evenings, plus daytime management hours
- A short, reliable commute to our San Rafael office. This role is fully on site and needs same-day flexibility when clients reschedule, so candidates based in Marin County or immediately adjacent are best positioned for it
Preferred
- EMDR training or certification
- Gusto or a similar payroll platform
- Experience in a private-pay practice
- Experience running an annual review cycle or maintaining an employee handbook
Compensation and benefits
- Pay
- Shared on request
- Management hours
- Paid at the same rate as your clinical hours
- Status
- W-2 employee, hourly, benefit-eligible
- Benefits
- Medical, dental and vision insurance, plus new benefits starting in 2027: 401(k) with employer contribution, HSA/FSA, and long-term disability and life insurance. We will go through the details with you before any offer
- Liability
- Professional liability coverage through the practice's policy
- Time off
- Paid sick leave, plus unpaid time off aligned with school breaks
- Development
- Trainings, monthly EMDR consultation groups, in-house CEUs through our training library
How to apply
Send your resume and a cover letter telling us about you and also attending to the following:

- What is your ideal split between clinical work and practice management, and why?
- Tell us about a time you had to hold a colleague to a deadline or a policy. How did you handle it?
